Job Description

:

The Manager of Special Events and Experiences is responsible for developing the special events program for Cleveland Metroparks, including concepting, selling and executing both internal and external special events, coordinates with Group Sales Manager regarding sale of spaces to external groups for individual or public/ticketed events, coordination of permits for all spaces, and all event management for Cleveland Metroparks.

Essential Functions:

  • Effectively supervises assigned employees, including the following:
  • Interviews, selects and trains employees;
  • Coaches employees in proper job performance techniques and procedures;
  • Directs work of employees and sets/adjusts hours of work;
  • Maintains records on employee productivity and appraises employees' productivity and efficiency to recommend promotions or other changes in status;
  • Handles employee complaints and disciplines employees when necessary;
  • Apportions work among different employees;
  • Monitors or implements legal compliance measures;
  • Determines the type of materials, supplies, or tools to be used by employees and controls the flow and distribution of materials and supplies; and
  • Provides for the safety of employees and the property of Cleveland Metroparks.
  • Regular and predictable attendance is expected and required. All Cleveland Metroparks employees must be prepared to work flexible schedules, including evenings, weekends, and/or holidays as required.
  • Develops and executes a sales plan for event management of all special event spaces throughout the park system with exception to reservable picnic shelters.
  • Develops and executes an annual incremental attendance and mission based special events plan for Cleveland Metroparks Zoo special events.
  • Develops annual event plan for all Cleveland Metroparks spaces.
  • Manages Special Event and Experiences operations to provide a centralized source for Park District scheduling: Coordinates with Group Sales Manager regarding area/facility-use and activities/events including the issuance of permits and reservations. Works closely with General Manager and Sales Manager to support electronic/digital reservation system.
  • Recommends annual rates regarding special event permit fees and admission rates.
  • Works with legal counsel, park operations and risk management leadership to develop conditions of use for activities and events to be conducted in Cleveland Metroparks by various user groups.
  • Maintains positive support and relations with park visitors and staff and encourages appropriate use of resources and compliance with Park District mission, goals, objectives, rules and regulations.
  • Conducts special projects and studies, issues reports and participates in meetings to develop and determine new and revised conditions of use, rules and regulations, requirements and methodology as applies to the various activities, events, areas and facilities.
  • Requires attendance on site during special events and experiences held at the zoo, and various locations, including remote locations throughout the park district. Requires transporting staff and event materials to various locations throughout the park district.
  • Keeps direct supervisor promptly informed of key/significant issues or concerns.
  • Carries out duties and responsibilities in a safe and efficient manner to maintain a safe work environment and surrounding area for oneself, co-workers and public. Responds to hazardous situations and/or potentially unsafe conditions by taking corrective action as capable and promptly notifying supervisory personnel.
  • Updates and enhances own knowledge by involvement in continuing education for professional growth (i.e., attends relevant conferences, seminars, in-service trainings, and certification programs)
  • Performs related duties as assigned or apparent.
Requirements:
  • Bachelor's degree from an accredited college or university in marketing, parks and recreation administration, business administration or related field, or equivalent combination of education and experience. Minimum of four (4) years of experience in special event management and sales with two (2) years of experience in management of sales staff.
  • Must possess and maintain a valid driver's license under the laws of the State of Ohio.
  • Knowledge of Audio Visual support systems.
  • Knowledge of city ordinances and codes, including capacity, signage, electrical and special events.
  • Demonstrated capabilities in financial analysis.
  • Ability to develop and maintain effective working relationships with stakeholders, including employees and the general public.
  • Ability to speak and write clearly, concisely and persuasively using correct grammar, spelling and punctuation with ability to communicate one-on-one or in group settings.
  • Ability to perform work with a high degree of accuracy and organization.
  • Management skills and strong business acumen, including problem solving, vision, ability to manage multiple programs and meet deadlines, collaboration, leadership, decision making and ability to analyze diverse facts and develop clear and concise reports and recommendations.
  • Ability to work cooperatively with others.
  • Proficiency in software programs including all Microsoft Office programs.
  • Mature professional attitude and considerable discretion, including ability to manage confidential information.
  • Ability to perform with considerable independence and initiative.
